Committed purchases
The Committed purchases tab of the Catalog shows, for a period, what the garage ordered from its suppliers and what it received. It tells you which invoices to expect and helps you spot a received price that differs from the ordered price.
The screen is reserved for people who have the permission Order from suppliers (parts to order, purchase orders, committed purchases) (the Administrator and Reception; see Roles and permissions). During support access, this permission is always removed.
Choose the period
Section titled “Choose the period”By default, the screen shows the current month. Enter a start date and an end date (366 days at most), then click Show. You can also show a single supplier.
An order counts in the period according to its sending date: the date Bihr confirmed the order, or the date you marked it as sent for a supplier that is not connected. Days are those of the garage time zone (Settings > Garage): an order sent at 11:30 p.m. on the 31st counts for the 31st.
Not counted: drafts, orders being sent or to check (they are not yet committed with the supplier) and cancelled orders.
What the amounts show
Section titled “What the amounts show”- Ordered: quantity ordered × expected purchase price of each line.
- Received: quantity received × received price, for each receipt (the price entered at receipt, otherwise the ordered price).
- Expected to be invoiced: what was received, plus what remains to be received at the expected price. For a closed order, the rest will not be delivered: it is no longer expected.
- Price difference: what was received, minus the same quantity at the expected price. A positive difference means a received price higher than expected.
Each amount is rounded to the cent line by line. Totals are given for the whole period, by supplier (when there are several) and by order.
Order states
Section titled “Order states”| State | Meaning |
|---|---|
| Sent, not received | The order has gone (confirmed by Bihr or marked as sent); nothing has been received yet. |
| Partly received | Some of the parts have been received; the rest is expected. |
| Received, invoice expected | Everything has been received; the supplier’s invoice is expected. |
| Closed | The order was closed: the rest will not be delivered. |
Click an order number to open its page (see Supplier orders).
Export as CSV
Section titled “Export as CSV”Click Export (CSV): Garage+ prepares a file for the period and supplier shown, which your browser saves (nothing is kept on the server). The file:
- starts with the notice “Indicative amounts, excluding tax: the supplier’s invoice prevails.”;
- contains one row per order (its totals), followed by one row per order line (supplier reference, description, quantities ordered and received, expected price, amounts);
- has its headers and amounts in the interface language (decimal point in English),
;separator, readable by a spreadsheet; - is protected against formulas: a text cell starting with
=,+,-or@is prefixed with an apostrophe, so that a spreadsheet does not run it.
The export holds 20,000 rows at most: beyond that, Garage+ asks you to shorten the period. Each export is recorded in the garage’s audit log (kind and number of rows, without any amount).
