Workers
Available when the Workers feature is turned on (Settings › Features, see Features).
A worker is a person to whom work time is assigned: a mechanic, an apprentice, a subcontractor… They may have a Garage+ account (they are then a member of the garage) or not. The upcoming planning and jobs rely on this list.
The Settings > Workers screen opens with the Manage workers permission (administrators and the Reception role, for example; see Roles and permissions), with Manage everyone’s time, absences and workers’ hourly cost (for absences and the hourly cost) or with Manage settings (for absence types): each person only sees the sections their permissions cover. All members of the garage can, however, see the list of workers, to organise themselves.
The screen has up to three tabs: Workers (the list and each worker’s record), Qualifications (the catalogue, with Manage workers) and Absence types (with Manage settings).
Add a worker
Section titled “Add a worker”- Click Add a worker.
- Enter their display name (80 characters at most), for example “Lucas (apprentice)”.
- Choose the linked member if they have an account, or leave None (no account).
- Click Save.
Workers do not count towards the free plan limit: only members and pending invitations do. You can therefore list the whole workshop, even if only two people have an account.
Worker with or without an account
Section titled “Worker with or without an account”- No account: the worker exists only in the list; they do not sign in. This is the case for an apprentice or a subcontractor.
- Linked to a member: the worker matches a person who has an account in this garage. A member can only be linked to one worker; in the choice list, members who are already linked are greyed out.
To link a worker to a member later (for example when the apprentice gets their account), open their Record and choose the member in the Identity section. To remove the link, choose None (no account).
If a member is removed from the garage (or leaves it), their worker stays in the list, unlinked: the time assigned to them is not lost.
Archive rather than delete
Section titled “Archive rather than delete”A worker is never deleted: they are archived. Click Archive on their row; they disappear from the list, but their history is kept. To see them again, tick Show archived, then click Restore if needed.
The worker record
Section titled “The worker record”The Record button on a row opens the worker’s record at the side of the screen: everything about them in one place, each section according to your permissions.
- Identity (Manage workers): display name and linked member.
- Qualifications (Manage workers): those they hold, with the date obtained and the expiry (“expires in 20 days”, “expired on …”, in colour and in words); Add a qualification (qualification, obtained on, optional expiry), Renew (new dates) and Remove.
- Upcoming and current absences (Manage everyone’s time): type, period, hours, repetition and description; Add an absence, Edit and Delete (in two steps: Delete, then Confirm deletion). Finished absences no longer appear.
- Internal hourly cost (Manage everyone’s time): the hourly amount excluding VAT; leave the field empty for an unknown cost.
In the list, a Qualification to renew (or Qualification expired) badge shows, for members who manage workers, a worker with a qualification expiring within 30 days (or expired); their qualification chips appear under their name (struck through when not valid today). The dashboard leads straight to the record concerned.
Archiving and a running timer
Section titled “Archiving and a running timer”Archiving a worker immediately stops their timer if one was running: the time measured up to then is kept.
Absences
Section titled “Absences”An absence (leave, sick leave, school, personal reason…) makes a worker unavailable for one or more days, possibly only at certain hours, and can repeat every week (on chosen days), every month or every year, for two years at most. An absence lasts 62 days at most; for a longer period, enter several.
Each absence has a type. Five types are provided to each garage, and can be changed: Paid leave, Sick leave, School, Personal reason and Other (names are entered in French by default and can be renamed). Types are managed in the Absence types tab, with the Manage settings permission (code of 1 to 6 capital letters, label, colour, Confidential box); a type is never deleted, it is archived (Active box).
An absence is entered from the schedule (Absence button) or from the worker’s record, where it can also be edited and deleted.
What each person sees of an absence:
- with Manage everyone’s time, absences and workers’ hourly cost: everything, including the type and the description; this is also the permission that allows entering, editing and deleting an absence;
- the worker themselves: their own absences, type and description included;
- with View the schedule: each person’s absence period and its type, except for a confidential type (“Sick leave” and “Personal reason” are): the absence then only shows as “Absent”. The description is never shown.
A type is confidential or not from its creation, with no way back: an absence already entered never changes visibility. During a support access, absence details are never shown.
Absences are deleted automatically 24 months after their last occurrence.
Internal hourly cost
Section titled “Internal hourly cost”A worker’s hourly cost (what their hour costs the garage) is used to compute the internal cost of time spent. It is only visible and editable with the Manage everyone’s time, absences and workers’ hourly cost permission — the worker themselves does not see it — and never during a support access. Without a cost entered for the worker, the hourly cost of the line’s work type applies; without either, the cost stays unknown.
Qualifications
Section titled “Qualifications”A qualification certifies that a worker may work on certain equipment, in particular on electric or hybrid vehicles (electrical qualifications). Each garage receives a catalogue of eight qualifications, following the symbols of the French standard NF C18-550: B0, B1, B2 (not for electric vehicles) and B0L, B1L, B1XL, B2L, B2XL (electric or hybrid vehicles). Their labels are suggestions: have them checked by someone who knows the standard and adapt them if needed.
For each worker, you record the qualifications they hold, with the date obtained and, where relevant, the expiry date (never before the date obtained). A qualification is recorded only once per worker; on renewal, you change its dates. The catalogue (Qualifications tab: code of 1 to 12 capital letters or digits, label, colour, Electric or hybrid vehicle box) and workers’ qualifications (worker record) are managed with the Manage workers permission; a catalogue qualification is never deleted, it is archived. A held qualification can be removed at any time. During a support access, qualifications cannot be changed.
Who sees what: all members see the chips of each worker’s qualifications (code, colour, valid today or not), for example in worker lists; the dates obtained and expiry dates are only visible with the Manage workers permission.
“Not qualified for electric vehicles” warning
Section titled ““Not qualified for electric vehicles” warning”When you make a worker the lead of an intervention, the worker on a labour line or a worker on an appointment for an electric or hybrid vehicle, and they have no valid electrical qualification that day (or it has expired), Garage+ shows the “not qualified for electric vehicles” warning. Saving is never blocked: the garage remains responsible for its assignments. The energy is read from the reference model; for a vehicle without a model or with a model entered by the garage, the energy is unknown and no warning is shown (a limit lifted once the garage’s models carry their energy).
Qualifications to renew
Section titled “Qualifications to renew”For members who manage workers, the dashboard lists active workers’ qualifications that are expired or expire within 30 days, from the nearest expiry to the furthest (five at most); each row opens the worker’s record. The same alert appears as a badge in the worker list. It stays within the application: no email is sent.
Real-time updates
Section titled “Real-time updates”When a worker is added, changed or archived, the screen updates by itself in the garage’s other open windows, without reloading the page (see Discover the interface).
Audit log
Section titled “Audit log”Every worker addition and change is recorded in the garage’s audit log, with its author. The log notes what changed (name, linked member, status), without copying the worker’s name.
