Agent

The Agent page prepares records from a request written the way you would say it to a colleague: “New customer Marc Dupont, a Honda CB500F plate AB-123-CD in for a service”. The agent proposes, you decide: nothing is saved until you click Confirm on the proposal card.

The page is available to garages that have turned on AI assistant (Settings › Features) and to people who have the right to use the assistant. Without both, the Agent entry does not appear in the menu.

Write in the box at the bottom, then press Enter to send (Shift+Enter starts a new line). A request is 2000 characters at most. While the agent is working, the thread shows “The agent is thinking…”.

If your request is ambiguous, the agent asks you a question with a few choices: click the right one and your choice is sent as your answer. There is never a default choice.

The names, phone numbers, addresses and plates in your message are masked before being sent to the AI model and put back in the answer: the provider does not receive this data.

Each proposal is a card that lists the record field by field, with its “I understood: …” sentence. The origin of each value is shown:

  • a value stated by you is shown as is;
  • a value read from Garage+ (a customer or a vehicle that was found, a catalogue price) carries the label “read from Garage+”;
  • a value inferred by the agent is highlighted and marked “inferred”: check it before you confirm.

On the card:

  • Edit (pencil next to a field) changes a value. Quantities are written in workshop units (“1.5”), prices in euros (“12.50”) and rates as a percentage (“20”); a value taken from a list (customer type, title, vehicle type, stage) is picked from a drop-down list; the card updates;
  • Confirm carries out the action, with the same checks as the usual screen. The card becomes Confirmed, with a link to the record that was created (customer, vehicle or work order). If the situation has changed in the meantime (a record edited by a colleague), the card is replaced by a new one to confirm, and nothing is carried out;
  • Reject asks for the reason (that is not what I wanted to do, some information is wrong, another reason); nothing is saved. Then tell the agent what to change.

A proposal expires after a while: the card says so, so ask the agent for it again. A conversation has only one pending proposal: if the agent makes a new one, the previous one is marked Replaced.

The card flags what deserves your attention: a possible duplicate (a similar customer exists), a plate number in an unrecognised format, an address that cannot be found. For a duplicate, Use the existing record rejects the proposal and asks the agent to carry on with the record that is already there.

A required field left empty (the make of a vehicle when you only gave the model, a customer’s name, a company’s name) is flagged and shown empty: fill it in with Edit. Confirm stays disabled while it is missing. For a work order, a vehicle with no holder needs a customer: reject the card and tell the agent which customer.

When several records match your request (two customers with the same name, for example), the card lists the candidates: choose the right one before you can confirm.

Chain steps: customer, vehicle, work order

Section titled “Chain steps: customer, vehicle, work order”

After a confirmation, the agent waits for your next message. Click Continue so that it moves on to the next step (from the customer to the vehicle, then to the work order), or write what you want.

On the left (above the thread on a phone), the list of your most recent conversations:

  • New starts an empty conversation;
  • clicking a conversation reopens it with its messages and cards;
  • the bin icon then Delete erases the conversation and its proposals.

Conversations are personal: a colleague cannot see yours.

A red message under the thread explains the problem: the agent is temporarily unavailable, the garage’s monthly AI budget has been reached, or too many requests were made in a short time (wait a few minutes). Your request stays in the thread; send it again later.
