Documents

The Settings › Documents screen sets what is printed on each kind of document: quote, invoice, credit note, proforma, repair order, vehicle reception form, repair estimate and vehicle return form. The repair estimate and repair order rows appear only when the Repair estimate and Repair order features are turned on (see Features). It opens for people with the Manage settings permission (administrators, for example; see Roles and permissions).

The garage’s legal notices (company name, SIRET, legal form, share capital, register…) are not entered here but on the garage page; this screen only shows the generated legal footer and, if mandatory notices are missing, the Incomplete legal notices banner.

Each kind of document has its row (a card on a phone):

Column What it sets
Printed title The title at the top of the document, 40 characters at most, on one line: “Proposition de travaux” instead of “QUOTE”, for example. Empty: the Garage+ title. The chosen title is printed as it is, whatever the language of the document (a quote in English also reads “Proposition de travaux”); a title containing “facture” or “invoice” is refused: it is reserved for the invoice. The title of the invoice and the credit note is set by law; the proforma is always titled “Proforma – not an invoice”. They cannot be changed.
Terms attached Attaches your terms of sale to the document. The box stays greyed out until you have published a version of your terms. Not applicable to the credit note and the vehicle return form.
Hide references Removes the “Reference” column from the lines table: the description takes the width. Garage+ still knows the reference. Not applicable to the reception and return forms, which have no lines.
Footer Edit opens the text printed at the bottom of the document (see below).
Email template Edit opens the subject and message offered when the document is sent (see Email templates); Customised marks a garage template.

A ticked box is saved at once; a title is saved when you leave the field (or press Enter).

These options are copied onto the document when it is issued: an issued quote or invoice keeps its title and references as they were that day, even if you change the setting later. A workshop document keeps the options in force when it was prepared.

The Terms of sale block keeps your terms by version. You write the text on the left; the preview on the right shows it formatted, as it will be printed (on a tablet or a phone, switch between Text and Preview).

  • Start from the Garage+ template fills the editor with a workshop terms of sale template (purpose, quotes, repair order, replaced parts, lead times, storage fees, prices, retention of title, legal warranties, complaints and mediation, personal data): adapt it to your garage. Have your terms reviewed by a lawyer: Garage+ prints them as they are.
  • Formatting: ## at the start of a line for a heading, ### for a subheading, - for a list item, **bold**; an empty line separates paragraphs. Everything else (tags, links…) is printed as is, never interpreted. 40,000 characters (64 KiB) at most.
  • Variables: the buttons insert at the cursor {garage.name}, {garage.legalName}, {garage.address}, {garage.phone}, {garage.email}, {garage.siret}, {garage.website} or {garage.mediator}. They are replaced when printing by the garage details as they appear on the document (those of the day it was issued). Any other variable in braces is refused when publishing.
  • Publish version n saves a new version. A published version can no longer be changed: to correct it, edit the text and publish the next version. The version history lists the versions with their date; Start from this version reloads its text into the editor.

Then tick Terms attached for the documents concerned (see the table above): each quote, invoice or workshop document issued or prepared afterwards cites the latest published version and prints it on pages after the document, under the title “General terms and conditions of sale — version n of …”. A document already issued keeps its version: publishing a version 3 does not change a quote that cites version 2. A signed quote carries the page of its terms: it is the proof of the version accepted by the client.

Publishing terms of sale requires the Manage settings permission; a support session (Vehitis assistance) cannot publish them.

Edit opens the Footer panel of the kind: the text, its character counter and, read-only, what Garage+ prints automatically (garage legal footer, due date and penalties on the invoice, “Document with no accounting value” on the proforma…). Click Save footer.

  • Quote: the quote terms (1,000 characters at most), copied onto each quote when it is issued.
  • Invoice, credit note and proforma: one shared text, the invoice terms (1,000 characters at most).
  • Repair order, vehicle reception form, estimate (notes and terms) and vehicle return form (declaration): the workshop document texts; when empty, Garage+ prints its default text, shown greyed out.

These are the same texts as before: they used to be edited on the garage page.

Each kind of document has its email template, in French and English (the document’s language): the subject (150 characters at most, on one line) and the message (4,000 characters at most) offered in the send dialog, where they remain editable. Until you save anything, Garage+ offers its own text.

Variables are written between braces and replaced when sending: {document} (“invoice”, “quote”…), {number} (document number), {client.name}, {vehicle.plate}, {garage.name}, {garage.phone}, {member.firstName} (first name of the sender) and {signature} (the notifications signature). Any other variable is refused.

The text is plain: no formatting, and Garage+ makes no link clickable. Garage+ always adds your contact details, the reminder unsubscribe link and a note saying the message comes from your garage. Restore the template deletes your text: Garage+’s is used again.

Templates are changed with the Manage settings permission; not in support access.

The Generated legal footer block shows the line Garage+ builds from the garage’s legal notices. To change it, follow the Complete the legal notices link (Manage garage information permission).

Garage+ numbers quotes (D-YYYY-00001), invoices (F-YYYY-00001) and credit notes (A-YYYY-00001) itself when they are issued, without gaps, per year. The numbering cannot be changed.
