Customer account and statement

This page assumes the Payments and cash register feature is turned on (Settings › Features, see Features).

The Account tab of the customer page brings together everything the garage has invoiced to this customer and everything they have paid. It requires the permission to view payments and the permission to view customers (Administrator and Reception roles).

At the top, the current balance: “Owes €X” (the customer owes the garage money), “In credit €X” (they paid more than due: credit note, move…) or “Up to date”. It equals the sum of the balances due of their invoices and deposit invoices.

The statement covers a period (the last 12 months by default, 5 years at most; From, To, then Show). A period that is refused (start after the end, too long or with too many lines) shows a message and the Back to the last 12 months button. It starts with the balance brought forward (everything before the period), then lists in chronological order:

  • invoices (as a debit, net of the deposits already invoiced that they deduct) and deposit invoices;
  • credit notes (as a credit);
  • payments (as a credit; a refund as a debit), with the method and the documents paid;
  • payment cancellations, as a reverse line on the date of the cancellation.

Each line gives the running balance; the last one, the balance at the end of the period. Documents issued under a customer page merged into this one are included too.

  • PDF downloads the statement of the period (A4).
  • Send by email opens the send dialog: the customer’s contacts, editable subject and message. The send is attached to the customer’s most recent work order: the statement sent is stored in its Photos and documents (category Account statement) and tracked on the Messages and notifications page; it is deleted if the customer is anonymised, even if that work order has changed customer since. A customer without any work order has no statement to send. Resending from the Messages and notifications page sends the up-to-date statement (last 12 months).
  • Take a global payment (take-payments permission) opens the payment dialog on all the customer’s documents still due, split from the oldest to the most recent (editable line by line). A payment has a single customer: documents still due from a merged customer page count in the balance, but are collected from their work order (a message points them out).

The statement is for information only, with no fiscal value: the invoices, credit notes and payments sealed in the fiscal journal prevail.
