The schedule

Without the Workers feature (Settings › Features, see Features), the planning has no worker columns, absences or load, and an appointment is created without a worker; resources remain available.

The Schedule menu shows the workshop’s appointments. It appears for people who can view the schedule; creating, moving or deleting an appointment requires the permission to create, move and delete appointments.

The schedule fills the whole screen and the page itself does not scroll: the grid fits the screen height to show the garage’s opening hours. On a screen that is too short, on a phone, or when the period is too wide, only the grid scrolls. Choose the view in the menu at the top right (it shows the current view):

  • Day: one column per worker or, with the Resources choice next to the views menu, one column per resource (lift, bay, bench). The Workers | Resources choice only appears if the garage has resources; on a phone, it is in the views menu.
  • 3 days: one column per day, starting from the chosen day.
  • Week: one column per day, Monday to Sunday.
  • In 3 days and Week, the Days | Workers | Resources choice (in the views menu on a phone) groups the planning by worker (or by resource): one row per worker, with their workload and absences, one column per day, and their appointments (times, license plate, make and model, client, file number). Screen readers read each row as a whole (“Karim B., workload 26 h 00 of 39 h 00”) and each absence in full (“Absent Thursday: School”). On a phone, the grouped planning becomes a list by worker, then by day. This choice is kept for the next visit. Grid gestures (drag, resize) stay in Day view: here, an appointment opens in its preview.
  • Month: a six-week calendar, always fully visible (see Month view).
  • List: the appointments of 30 days from the chosen day, grouped by day; days without appointments are not shown. An appointment that started before those 30 days and is still going appears under the first day. An appointment that starts or ends on another day shows the date of each end, for example “Fri, Oct 2 18:00 – Mon, Oct 5 09:00”: it never seems to fit in a single day. The list scrolls inside its panel. Tap an appointment to open it. If the list is empty because workers or resources are hidden, the Show all button shows them again.

The schedule remembers the last view you chose: it opens in that view next time, in the same browser (in Day view the first time).

The hours shown (for example 7 am to 7 pm) are set in Settings > Garage; the grid also extends to the garage’s opening hours if they are wider, and greys out the hours when the garage is closed (lunch break included). Days and times are always those of the garage time zone, whatever the computer or tablet setting: an appointment at 9 am is at 9 am for everyone.

Each appointment shows its times, the vehicle, the work order (number, subject and status) and the client. If your role does not allow you to see vehicles or clients, that information is hidden.

  • Today goes back to the period that contains the current day.
  • The ‹ and › arrows go to the previous or next period: one day in Day view, three days, a week, a month, or 30 days in List view.
  • The period title, next to the arrows, shows what is displayed: “Monday, October 5, 2026” in Day view, “Oct 5 – 11, 2026” for several days, “October 2026” in Month view.

In Day, 3 days and Week views, the grid shows all the opening hours of the garage, set in Settings > Garage: the hours are on the left, a solid line marks each hour and a dotted line each half hour.

  • Current time: a colored line with a dot on the left crosses today’s column (the full width in Day view); it moves every minute and disappears outside opening hours.
  • Today: in 3 days and Week views, the current day’s number is circled. Choosing a day’s header opens that day in Day view.
  • Colors: in Day view, an appointment takes the color of its column; in the other views, that of its first displayed worker, otherwise that of its resource. The Filters menu also offers Appointment color › By stage: one shade per file stage (reception, quote, scheduled, in progress, waiting, done), the same for everyone. Color is never the only information: the name is always written in the column header or in the left column.
  • Absences: in Day view, a worker’s absence is a hatched band in their column, with its type (or “Absent”); their column header shows their workload for the day.
  • Filters: the Filters menu (in the views menu on a phone) limits appointments to an activity (work type) or a document (receptions, quotes, repair orders, according to the file’s stage). Filters stay in the page address: a shared link keeps the same selection. They are only offered with the permission to view work orders.
  • Overlapping appointments: they share the column width, side by side.
  • Appointment content: in order, the time, the license plate, the vehicle make and model (with a small motorcycle, car or van icon) and the client, then the work order and status. From three quarters of an hour everything is shown; below that, a single truncated line with the start time, license plate and model, and the client underneath from half an hour. A 15-minute appointment stays readable: hover it to read the full text, or open its preview. Make, model and client only appear if your role can read vehicles and clients. An appointment with a conflict is outlined and shows the Conflict label.
  • Status at a glance: every appointment, even a short one, starts with a dot in the colour of its job’s status (quote awaiting approval, planned, in progress, done…); an appointment without a job has a dashed dot. The legend of the statuses shown is at the bottom of the left column, and the status is also written in the appointment’s tooltip. On a phone, it is at the bottom of the Show workers and resources panel of the schedule bar.
  • Appointments outside opening hours: a marker at the top of the column (“▲ 2 before 07:00”) or at the bottom (“▼ 1 after 19:00”) flags them. Choose it to see the list of these appointments and open one.
  • Small screen: the grid never goes below a readable height per hour (larger for touch). On a screen that is too short, only the grid scrolls, with the hours and day headers staying visible; it then opens at the current time. The page itself never scrolls.

Month view shows six weeks, Monday to Sunday, which always fit on the screen: the page does not scroll. Days of neighboring months are greyed out, and today’s number is circled in color. The first day of a month also shows its name (“Nov 1”).

  • Day number: choose it to open that day in Day view.
  • Appointments: each appointment is a line with a dot in the color of its first displayed worker (otherwise its resource), its start time, license plate and the vehicle model. A multi-day appointment appears on every day it covers, on a background of its color, without a time on the following days. Choose an appointment to open its preview.
  • “+ 3 more”: when a day’s appointments do not all fit in its cell, the last ones are gathered under this button, which opens the full list for the day. The number of visible lines depends on the screen height. On a phone, where cells are short, each cell keeps one readable appointment and the button becomes “+ 2”, to the right of the day number. If the cell is shorter than one line (phone in landscape), it only shows “+ 1”, “+ 3”… on the day number line: no appointment is lost from view. An appointment with a conflict shows the warning icon, and the Conflict label is read by screen readers.
  • Create: with the permission to create appointments, click or tap the empty part of a cell: the quick window offers a one-hour appointment that day, at the garage’s opening time. With the keyboard, use the New appointment button.

The left column gathers, from top to bottom, the New appointment button (with the permission to create appointments), a mini calendar and the list of workers and resources.

  • Collapse the column: the button at the top left of the bar collapses or reopens it, like the main menu; the schedule takes the space. With the column collapsed, the round + button at the bottom right creates an appointment. On a phone, the column opens in a panel and closes when you choose a day.
  • Mini calendar: it highlights the displayed month, week or day, and shows today in solid color (in the garage time zone). Choosing a day takes the schedule there, keeping the current view; the mini calendar’s arrows only change the month shown. With the keyboard: arrow keys to move, Home and End for the start and end of the week, Page Up and Page Down for the month, Enter to choose.
  • Colored checkboxes: each worker and each resource has its own color, assigned automatically (you do not choose it). Untick a box to hide that calendar: an appointment stays displayed as long as at least one of its workers, or its resource, is ticked. Hiding does not delete or change anything.
  • Show only this one: the “Options” menu (the three dots) of a row hides all the others; Show all brings everyone back.
  • Deactivated: a deactivated worker or resource appears in the list, with the label “(deactivated)”, only if it has an appointment in the displayed period.

Your choices (collapsed column, hidden calendars) are remembered per browser, and nobody else sees them.

On a computer, a single key is enough for common actions, as in Google Calendar:

Key Action
t Go to today
j or n Next period
k or p Previous period
d Day view
x 3-day view
w Week view
m Month view
a List view
c New appointment (with the permission to create appointments)
? Show keyboard shortcuts

Shortcuts do nothing when the cursor is in an input field, when a window or menu is open, or with the Ctrl, Cmd or Alt keys.

The Keyboard shortcuts button (keyboard icon, at the top right; on a narrow screen, in the views menu) or the ? key shows this list. Untick Single-key keyboard shortcuts in that window to turn them off, for example if you use dictation software or a typing aid: the choice is remembered on this browser.

With the permission to create appointments:

  • With a mouse, click and drag on an empty range of a column: the chosen range is shown during the gesture (“09:00 – 10:30”), in quarter hours, and becomes the start and end of the appointment. A simple click suggests one hour.
  • With a finger, briefly tap an empty cell: a one-hour range is suggested. To choose a longer range, press and hold the cell, then drag. A swipe scrolls the grid without creating anything.
  • The New appointment button, or the c key, opens the full window directly.

After a click-and-drag or a tap on a cell, a quick window opens next to the range, which stays displayed (on a phone, a panel at the bottom of the screen). It only asks for the essentials:

  • the vehicle;
  • the day, the start and the end, taken from the chosen range and editable right away, without opening the full window;
  • Create the work order (ticked by default), its subject and Quote to be approved (unticked by default, see below);
  • the worker: the one of the column in Day view (“With Karim”); in the other views, choose one among the displayed workers.

Save creates the appointment. More options opens the full window, keeping what you entered (day, times, worker, vehicle, subject, quote to be approved), to add workers or a resource, or to make the appointment last several days. Escape or a click elsewhere closes the quick window without creating anything.

The chosen column sets the worker (or the resource) in Day view, and the day in the other views. A deactivated column does not accept new appointments. In the full window, choose:

  • the vehicle, by searching for its license plate, VIN, model or holder: type the owner’s name and the menu lists each of their vehicles (plate, make, model and holder’s name); pick the right one;
  • Create the work order (ticked by default): a work order is created with the Scheduled status and the subject you entered (it also suggests the subjects already used by your garage). Untick the box for an appointment without a work order. The box only appears with the permissions to edit work orders and to see clients: without them, the appointment is created without a work order;
  • Quote to be approved (unticked by default): tick it when the client asked you for a quote and the work waits for their approval. The work order is then created with the Quote awaiting approval status instead of Scheduled; it moves to Scheduled when you record the client’s acceptance (see Quotes);
  • the day, the start time and the end time, in quarter hours;
  • one or more workers (at least one) and, if needed, a resource.

To schedule an existing work order, open its page and use Schedule an appointment in the appointments section: the schedule opens with the work order already chosen. The suggested end takes into account its planned duration, computed from the flat rates and labor of its lines (60 minutes with no lines), within the limit of the day: it does not go past 23:45. You can change it. Adding an appointment never changes the work order’s status: a work order whose quote awaits the client’s approval stays Quote awaiting approval.

A work order can have several appointments, for example when a part is awaited and the vehicle comes back.

A created appointment, whether from the quick window or the full window, sends the client an email confirmation (with an invitation to add to their calendar), then a day-before reminder at 6 pm, if these notifications are turned on in the garage settings. In the full window, as soon as the vehicle is chosen, a note says what will happen: “The client will receive a confirmation email.”, or “The client will not be notified:” followed by the reason (no consent to emails, opt-out, no address, no contact to notify). Nothing is shown if confirmations are turned off.

The client notified is the depositor of the work order (the person who dropped off the vehicle), otherwise the main contact of the vehicle’s holder. Emails are only sent between 9 am and 8 pm (garage time): an appointment booked in the evening is confirmed the next morning.

Moving an appointment by changing its start time sends a new confirmation (“appointment moved”) and replaces the reminder; changing only the end, the workers or the resource does not notify the client. Deleting an appointment cancels its planned notifications, without any message to the client. See Client notifications.

Click an appointment (or move to it with Tab and press Enter): its preview opens next to it, without leaving the schedule. It shows the vehicle, the day and times (with the end day if it lasts several days), the work order with its status, the workers with their color, the resource, the client and the Conflict label if applicable; for an appointment linked to a work order, the lead worker, the activity, the requested work and the spent and scheduled time (depending on your permissions). On an electric or hybrid vehicle, a worker without a valid electrical qualification is flagged Not EV qualified (a warning only). If you are part of the appointment, Start timer records your time on the work order (see Time spent). Information your role does not allow you to see stays hidden. On a phone, the preview opens in a panel at the bottom of the screen.

At the top of the preview:

  • Edit opens the appointment’s full window;
  • Delete asks for confirmation (see below);
  • Close (or Escape) closes the preview and puts you back on the appointment.

The full window opened by Edit also puts you back on the appointment when it closes; if it was deleted, you return to the displayed period. The preview stays within the schedule area: when there is no room next to the appointment, it opens below it.

Edit and Delete only appear with the permission to create, move and delete appointments. Open work order leads to the work order page, if your role allows you to see it. Appointments in List view and those of the “before” and “after” markers open the same way.

These gestures require the permission to create, move and delete appointments; without it, an appointment’s preview offers neither Edit nor Delete.

  • Drag and drop, with a mouse or a finger: drag the appointment up or down to change the time (in quarter hours), to another column to change the worker, resource or day. The appointment is saved as soon as you release it. With a finger, first press and hold the appointment until it lifts (the device vibrates if it can), then drag it: a simple swipe scrolls the grid without moving anything. To cancel a drag in progress, press Escape or put down a second finger.

  • Change the duration: drag the appointment’s bottom edge (the cursor becomes a vertical double arrow). The end follows in quarter hours, with at least a quarter hour, and the new duration is saved on release. With a finger, press and hold the bottom edge before dragging it; the middle of the appointment always moves it. For an appointment that ends after closing time, the bottom edge is at closing time: moving it up sets the new end to the chosen time. Escape or a second finger cancels.

  • With the keyboard: move to the appointment with the Tab key, then:

    • up and down arrows: a quarter hour earlier or later;
    • left and right arrows: neighboring column (worker, resource or day; a deactivated column is skipped);
    • Shift + up and down arrows: end a quarter hour earlier or later (the duration changes);
    • Enter saves, Escape cancels; leaving the appointment (Tab) also cancels.

    The appointment does not go outside the displayed hours: at a limit, it stops moving and the screen reader announces it. An appointment of a deactivated worker or resource cannot be changed with the keyboard (use the appointment window). Until you press Enter, nothing is saved: the new position is drawn with dotted lines and announced by screen readers (“10:15 – 11:15, Karim. Press Enter to save, Escape to cancel.”). Without an arrow key, Enter or Space opens the appointment’s preview.

  • Appointment window: open the appointment’s preview (click, or Enter), choose Edit, change the day, times, workers or resource, then choose Move.

  • On a phone, a horizontal swipe on the grid, outside an appointment, goes to the previous or next day (or period). When Day view has too many workers for the screen width, this gesture scrolls the columns instead: use the ‹ and › arrows then.

A conflict occurs when the same worker or the same resource has two overlapping appointments, or when an appointment falls during an absence of one of its workers. The schedule warns you (a message after saving, the Conflict label on the appointments involved) but never prevents saving: it is up to you to decide. A conflict with an absence never gives the reason for the absence.

Workers’ absences (leave, school, sick leave…) are entered with the Manage everyone’s time permission (time.manage), from the Absence button of the planning bar (in the views menu on a phone), or from the + button of a worker’s row in the grouped view (also by right-clicking or long-pressing their name): worker, absence type, days, optional hours (otherwise the whole day) and repetition (every week on some days, every month, every year, until a date, two years at most). A repeated absence is saved only once: its occurrences are computed when displayed, in garage time (a daylight-saving change does not move it).

Who sees what:

  • every member who reads the planning sees that a worker is absent and the absence type (“Paid leave”, “School”…);
  • a confidential type (“Sick leave”, “Personal reason” by default) only shows as “Absent”;
  • the description and the confidential type are only read with the Manage everyone’s time permission, and by the worker concerned for their own absences; never during a support access.

An absence is deleted automatically 24 months after its last occurrence.

A worker’s workload compares the hours of their appointments over the displayed period (only the part within the period counts) with their available hours: the garage’s opening hours, minus their absences. Example: 26 h / 39 h. It is shown on each worker’s row in the grouped view (with a bar, in a warning color beyond 100%) and in their column header in Day view; “—” when they have no available hours. Opening hours are set in the garage settings; they are added to the planning’s display hours without replacing them (the grid shows both).

The schedule updates by itself: an appointment created, moved or deleted on another computer appears without reloading the page. A window you are typing in is not changed by these updates; the preview of an appointment deleted elsewhere closes.

Open the appointment’s preview, choose Delete (the trash icon) then confirm. The Delete the appointment button in the full window does the same. Only the appointment disappears: the work order stays, with its lines and follow-up.
