Work orders
A work order gathers everything the garage does on a vehicle for a client: the request, the diagnosis, the work, the lines (labor, parts, fixed-price services), the appointments, the photos and the follow-up. The Work orders menu lists them, from the most recent to the oldest, by document tab (see The Work orders list). It appears for people who can view work orders.
Create a work order
Section titled “Create a work order”A work order, shown as a “file”, is created:
- from the dashboard’s New button: Vehicle reception (the motorcycle is dropped off, we decide later), Quote (the client wants a price first) or Repair order (the client agrees, the file starts “in progress”; Repair if the Repair order feature is not turned on). The screen that opens lets you choose a known vehicle (plate, VIN, code or client) or enter a new one, then a known client or a new client, and finally the subject, the requested work and the symptoms. Everything is saved in one go: if any information is refused (for example a plate that is already known), nothing is created. If the motorcycle already has an open file, the screen says so with a link to resume it;
- from the Work orders list or a vehicle page (Work orders section, the vehicle is already chosen), New work order button, which opens the same screen;
- from a client page (Work orders section), New file button: the client is already chosen and their vehicles come first in the list, under Customer’s vehicles;
- from the schedule, by creating an appointment.
The work order’s client is by default the vehicle’s current holder; if the vehicle has no holder, choose the client. The person dropping off is the main contact of that client. Enter the subject (one line, required; it suggests the subjects already used by your garage, for example “Oil change + filters”: choosing a suggestion replaces the text, which you can still edit) and, if needed, the symptoms. The work order automatically receives a number (“No. 42”), specific to the garage, and starts at the chosen stage: Reception, Quote (the default) or In progress for a repair order. The schedule creates a Scheduled file, or Quote awaiting approval if you tick Quote to be approved (see The schedule).
The number shown depends on the stage: R-00042 for a reception, OR-00042 for a repair order; the number itself stays the same throughout the file.
An archived vehicle, or an archived or anonymized client, cannot receive a new work order.
Change the client of a work order
Section titled “Change the client of a work order”In the work order’s header, the Change… button, next to the client’s name, opens the Change the job’s client dialog: it recalls the current client; choose an existing client (search by name, phone number or plate) or create a + New client on the fly (individual or business, with the company register), then Change client. If issued quotes or signed documents exist, the dialog recalls that they stay in the former client’s name. On a work order already invoiced, the button stays and the dialog explains why the change is refused (“issue a credit note then invoice again”), without offering anything else.
Permissions: Create and track work orders (lines, mileage, comments, status) and View clients; Create and edit clients to create the new client on the fly; Create and edit vehicles, holders and mileage for them to also become the vehicle’s holder.
The client of a work order can change at every open stage and at the Done stage, as long as no invoice has been issued for it. Once the invoice is issued (or recorded), the change is refused: issue a credit note cancelling the whole invoice, then change the client and invoice again. A cancelled work order no longer changes client.
The depositor becomes the new client’s main contact. Quotes already issued, signed documents and cancelled invoices stay in the former client’s name; the next quote will carry the new one. Its comments, documents and appointments follow the work order: they appear in the new client’s export and no longer in the previous one’s. Review them before changing the client. Tick also becomes the holder for the new client to become the vehicle’s holder from today (the former holder’s period is closed).
Quotes
Section titled “Quotes”A work order starts at the Quote stage: its lines form the draft quote. The Quote card of the Documents section lets you see its preview, issue the quote (number D-YYYY-NNNNN, PDF to hand to the client), record the customer response and, if they accept, move the work order to Scheduled in the same step. While the work is in progress, it flags the gap with the accepted quote and offers a supplementary quote. See Quotes.
To find the work orders to price, open the Quotes tab of the Work orders list.
Request and work
Section titled “Request and work”Symptoms, diagnosis, work done and activity are available when the Work order details feature is turned on (Settings › Features, see Features); the subject and the requested work are always there.
The Request and work section contains the subject, the symptoms (what the client describes), the requested work (what the client wants done: “oil change, rear tyre”), the diagnosis (what the workshop finds) and the work done. Each one is saved when you leave it (like the mileage): there is no “Save” button; “Saved” shows next to the title. If another device changed the same field while you were typing, the page says so: Keep my changes or Use the saved version. If saving fails (network down, work order locked in the meantime), your input is kept and the field is marked “Not saved”: Try again or Use the saved version; while a changed field is not saved, the browser asks for confirmation before leaving the page. These fields remain editable until invoicing or cancellation.
Two lists complete the file:
- the responsible worker: suggested by default when you add a labor line;
- the activity: the main type of work of the file (mechanics, servicing, tyres…).
Only active workers and work types can be chosen; a choice that has become inactive stays displayed. None clears the choice.
Work order trading name. If the garage has declared two or more trading names (see Garage details), a third list, Trading name, chooses the business name printed at the top of the work order’s quote and invoice. Choosing an activity linked to a trading name sets it automatically. The trading name can be changed as long as no quote or invoice has been issued, then it is locked: all documents of a work order carry the same header. A trading name archived since then remains the work order’s (it can no longer be chosen for another one). During support access, a work order’s trading name cannot be changed. The garage (no trading name) prints the garage header. Two separate companies are managed as two garages, not two trading names.
These structured fields feed the vehicle’s history and, later, the workshop assistant. Do not write personal data in them (name, phone, address, remark about a person): describe the vehicle and the work.
Mileage
Section titled “Mileage”Available when the Work order details feature is turned on (Settings › Features, see Features).
The mileage on arrival is entered on the work order page, at open stages (quote, scheduled, in progress, waiting). It becomes a mileage reading of the vehicle, dated today according to the garage time zone, and can be corrected as long as the work order is open. A value lower than a previous reading is accepted but flagged (odometer replaced?). This reading cannot be deleted from the vehicle page.
Parts and labour
Section titled “Parts and labour”The Parts and labour section holds everything that will be invoiced:
- Labor: a work type; its hourly rate is copied and remains editable. The duration is counted in hours (“1.5”); the worker is by default the person responsible for the file.
- Part: a catalog part (its description and price are copied, the price remains editable) or a free part, not in the catalog.
- Fixed-price service: fixed price and planned duration from the catalog; its included parts are added below it, at zero price. If you change the quantity of the service, that of its included parts follows automatically.
- Service template: chosen from the suggestions of the entry bar, adds in one go its fixed-price services (with their parts), its parts and its text lines, in the order of the template.
- Text: a remark without price or quantity (“Tyres supplied by the client”), printed in italics on the quote. It counts neither in the totals, nor in the planned duration, nor in stock.
Quantities accept up to three decimals.
Add a line
Section titled “Add a line”Below the table, the entry bar (“Search part, labor, fixed-price service…”) searches at the same time, from the first letters, in:
- the garage parts (description, reference; stock is shown for tracked parts);
- the catalog of a connected supplier (for example “Bihr catalog”, see below);
- labor and fixed-price services;
- service templates.
On a computer, the cursor is already in the bar when you open a file whose lines can be edited; on a tablet, tap the bar (the on-screen keyboard does not open by itself, so as not to hide the page).
| Key | Effect |
|---|---|
| Enter | adds the highlighted suggestion (the first one if you have not chosen any) |
| ↑ ↓ | choose another suggestion |
| Tab | adds the suggestion, then opens the quantity of the new line; Tab again moves to the price, then to the discount |
| Esc | clears the bar |
Type the mo prefix to search labor, f for a fixed-price service and t for a text line; without a prefix the bar searches everywhere and offers a free part as a last resort. The Catalog button (with the permission to view the catalog), on the left of the bar, opens the catalog picker in a panel (see below).
The Catalog panel
Section titled “The Catalog panel”The Catalog button (with the permission to view the catalog), opens the same picker as the Items tab of the Catalog: a single search across the garage parts, the supplier items, the fixed-price services, the labor and the service templates, with the stock and the available quantity of each part. Enter a quantity then Add: the line is placed on the job, as with the entry bar, and the panel stays open so you can carry on. The single entry bar remains available; both add the same lines.
After adding, the bar is cleared and keeps the cursor: lines follow one another without a mouse. A part is added with quantity 1 at its catalog price, labor for 1 h at the rate and VAT of its type, a fixed-price service with quantity 1 and its included parts.
Prefixes: a few letters followed by a space narrow the search. They are optional and case-insensitive.
| Prefix | Searches | Example |
|---|---|---|
mo |
labor | mo diag |
f |
fixed-price services | f oil change |
r |
service templates | r 12000 |
t |
nothing: adds a text line | t Tyres supplied by the client |
Without a space, it is not a prefix: “filter” searches everywhere.
Barcode: a run of 8 to 14 digits (an EAN typed or read with a scanner) puts the garage part bearing that code first.
Unknown text: at the end of the list, the bar always offers, in this order:
- Free part “…”: a part not in the catalog, added at €0; its quantity opens at once and Tab moves to the price to enter. This is what Enter picks when no suggestion matches;
- Text “…”: a text line (200 characters at most);
- Create the part “…” (with the permission to manage the catalog): a small New catalog part form asks for the description, the reference, the sale price excl. VAT, the purchase price excl. VAT and whether the part is stock tracked; Create and add creates the part in the catalog (garage default VAT, sold by the unit) then adds it to the file.
Supplier items: if the garage has a connected supplier (Bihr), the bar also shows, under “Bihr catalog”, the items of its catalog: description, reference, brand, the sale price the part would have and availability (“In stock (12)”, “Restocking on” followed by a date, or “Unavailable”). Availability is requested live from the supplier when the items are displayed; if the supplier does not answer, the availability of the last synchronization is shown, with its date (“as of” followed by the date). Choosing an item creates the part in the garage catalog (or reuses the part that already matches it, see Catalog), then adds it like a catalog part. Supplier items are only offered with the permission to manage the catalog; fixed-price services and service templates only offer catalog parts.
Without the permission to view the catalog, the bar searches nothing: only the free part and the text line remain.
Edit a line in place
Section titled “Edit a line in place”The quantity, the unit price excl. VAT, the discount and, for labor, the worker are edited directly in the table: tap or click the value (with the keyboard: Enter or F2 on the cell). Type in the French way (“1,5”, “41,20”):
- Enter or leaving the field saves;
- Esc cancels;
- Tab moves from the quantity to the price, then to the discount.
A refused value (invalid entry, file locked in the meantime) shows a message and goes back to the previous value. A part included in a fixed-price service can only have its quantity edited. If two devices edit the same line, the last entry wins and the page updates on both.
Update the catalog: when you change the price of a catalog part line whose sale price is entered (not calculated by a price rule), and if you can manage the catalog, a message offers Update the catalog for 8 seconds. This button carries the new price excl. VAT over to the catalog part, and only its sale price; the part’s price history keeps it. Other files keep their prices. Nothing is offered for labor or fixed-price services.
If the sale price of a catalog part changes after it was added to the file (entered by hand, price rule, synchronization with the supplier), the line shows under its price “Catalog price: €41.20”. The line keeps its price: nothing changes on the file or on a quote already made. Edit the price of the line yourself if you want to apply the new price.
Discount: labor, parts and fixed-price services accept a percentage discount (“10” or “12.5”). The line amount takes it into account (rounded to the cent). The Disc. column is always shown while lines can be edited, afterwards only if a line has a discount. A part included in a fixed-price service has no discount: discount the service.
Overall discount: below the totals, Overall discount (%) then Apply the discount discounts the whole file, on top of the line discounts. It applies to the base excluding VAT of each VAT rate (rounded to the cent); the totals then show the subtotal, the discount and the total excl. VAT. The quote and the invoice include it. It can only be changed at the open stages.
Margins: below the totals, Show margins shows, for each line, the sale excl. VAT after discount, the cost excl. VAT (part: average stock cost, otherwise catalogue purchase price; labour: hourly cost of the work type; package: cost of its included parts), the margin in euros and as a percentage of the sale price, then the totals. Simulate an overall discount (%) recomputes the margin live before you apply the discount. A line without purchase price or hourly cost shows “—” and the margin is said to be partial. Margins are only visible with the permission to edit the catalogue or adjust stock, and are never printed on the quote or the invoice. The choice to show margins is kept in your browser. On a phone, each line shows as a compact card: description, then quantity, unit price excl. VAT, discount, VAT and amount, each with its label.
Progress: each line has a progress (To do, In progress, Done, Waiting for part), editable at the open stages. It is a workshop tracking aid: it does not appear on the quote and changes neither stock (parts leave stock when the work order is completed) nor the status of the work order. Each line has its VAT rate, chosen from the garage’s rates. VAT is calculated per rate, on the sum excluding VAT of the lines at that rate; the section shows the total excl. VAT, the VAT of each rate and the total incl. VAT, as well as the planned duration (fixed-price services and labor, rounded to the quarter hour).
Line order and ⋯ menu
Section titled “Line order and ⋯ menu”Each line has a ⋮ handle: drag it with the mouse, or with a finger after a short press, to place the line elsewhere. A fixed-price service moves with its included parts. With the keyboard, go to the handle, press Space or Enter, choose the place with ↑ and ↓, then press Space or Enter again (Esc cancels); each step is announced to screen readers.
The ⋯ menu of each line offers:
- Edit…: the less common fields (description, unit, VAT, reused part, work type);
- Duplicate: copies the line (and the included parts of a fixed-price service) to the end of the file, at the same prices;
- Move up and Move down: move the line by one row;
- Delete: always after confirmation; deleting a fixed-price service also deletes its included parts.
A reused part (second-hand or refurbished) bears the Reused badge. A catalog part marked as reused is reused on the line too; the Reused part box of Edit… changes it. Only part lines can be reused parts. The client chooses whether they want reused parts when they accept the quote (see Quotes).
Lines added automatically
Section titled “Lines added automatically”A service template can be added automatically to new repair orders or new quotes (see Catalog). Its lines are then placed when the file is created and carry the Default badge: they are lines like any other, to edit or delete if they are not needed. Nothing is added when a vehicle is checked in, nor when a quote becomes a repair order (it keeps its lines).
Parts and stock
Section titled “Parts and stock”When the work order is completed, each part tracked in stock (part lines and parts included in a fixed-price service) leaves stock at the weighted average cost of the moment. Moving from “completed” to “invoiced” changes nothing in stock. Cancelling the invoice with a credit note changes nothing in stock either (the work order goes back to completed, its parts stay issued).
Reopening a work order returns everything to stock; completing it again issues the lines as they then are. A free line (not in the catalog) or a non-stock part never touches stock.
With the permission to view stock, each part line shows the quantity in stock and, where applicable, the To reorder or Negative stock badges (negative stock is flagged, never blocking). Under the lines, the Stock movements section lists the issues and returns of the work order. Neither costs nor stock value appear on the page.
Missing parts
Section titled “Missing parts”When the quantity asked for by the part lines exceeds what is available, the page shows a Missing parts banner above the lines. Each part is detailed: “4 needed, 1 available, 3 missing”. Available is the stock minus the demand of the other open jobs (planned, in progress or on hold): it is a calculation, nothing is reserved. The part’s line carries the Missing badge, and “2 on order” shows what is already in an order.
- Order adds the missing quantity to the draft order of the part’s default supplier (the preferred one, otherwise its only supplier). The order is attached to the job: it is shown as such in the parts to order and in the order.
- Order all does the same for every missing part that has a default supplier. If some orders fail, the message says how many succeeded.
- A part with no default supplier cannot be ordered from the banner, which says why: no linked supplier, or several suppliers and none preferred. With the permission to view the catalog, Open the part sheet leads to the part in Catalog › Garage parts: open it to link a supplier or pick the preferred one.
The banner is shown with the permission to view stock; Order requires the permission to order from suppliers. A completed or invoiced job no longer has missing parts: its parts have already left stock.
Documents
Section titled “Documents”The Documents section, under the parts and labour, gathers all the documents of the file, in the order they are made: vehicle reception form, quote (and its versions), repair estimate, repair order, vehicle return form, then invoice and credit notes. Only the documents that already exist or can be made at the file’s stage appear: no repair order at reception, no vehicle return form before the file is completed. The reception and return forms appear only if the Vehicle reception and return forms feature is turned on (a form already signed stays available); likewise, the estimate and the repair order appear only if the Repair estimate and Repair order features are turned on in Settings > Features (a document already signed stays available).
Each document has its card: its name, its number (R-00128, OR-00128, RS-00128, D-2026-00007, F-2026-00012…), its date, its state (to create, saved, not signed, issued, signature pending, signed, accepted, declined…), a short description and its actions:
- Create the form or Open the form (reception, return);
- PDF (not signed): the copy of the form, the estimate or the repair order printed on the fly; Key tag (PDF) on the repair order;
- Have signed: opens the signature dialog (see Workshop documents and signature); Send the repair order sends it unsigned;
- once signed, the document’s signed version: Signed PDF, Verify (integrity), Send, Modify (a new version is to be signed), and for a pending signature Finalize, Cancel or Cancel the link;
- the Quote card: preview, Issue the quote, versions with their PDF, Record the response, Have signed and Send (see Quotes);
- the Invoice card: preview, issue, pro forma, PDF (original) then PDF (duplicate), send, Paid checkbox, credit note, history and Details (the invoice’s panel) (see Invoicing).
The PDF of an invoice issued by Garage+ follows the invoicing rules: the first delivery is the original, the following ones are numbered duplicates. The button says so before the click: PDF (original) as long as the original has not been delivered, PDF (duplicate) afterwards.
At the end of the section, Stored copies (collapsed) lists the files of the work order that belong to the flow: PDFs of sent quotes, signed documents, stored original and duplicates of the invoice, sent pro forma, copy of an invoice issued elsewhere. This is where you attach the PDF copy of a recorded invoice (category Invoice). Photos and attachments stay in Photos and documents.
Each action keeps its permissions: the card only offers what you can do, and Garage+ checks everything again when saving.
Statuses
Section titled “Statuses”Under the title, the document timeline shows where the file stands: Reception (if it went through it), Quote (latest version), Repair order (OR-00128; Repair, without a number, if the Repair order feature is not turned on), Invoice, then Return (RS-00128) once the vehicle return form exists. Each item leads to its card in the Documents section. A file whose vehicle return form is signed carries the Returned badge.
With built-in invoicing, the timeline shows each issued invoice and credit note (Invoice F-2026-00012 → Credit note A-2026-00003); a badge gives the number of email sends of the quote, the repair order, the vehicle return form, the invoice and the credit note (“1 send”). Clicking an invoice or a credit note opens its panel.
Document panel
Section titled “Document panel”The panel of an invoice or credit note opens on the right (full width on a phone) from the timeline or the Details button of the Invoice card, with the mouse or the keyboard (Enter on the item, Esc to close). It shows the number, the date, the amount including VAT, the state (current invoice, cancelled by a credit note, credit note for a given invoice) and the list of the document’s sends with their status (scheduled, sent, delivered, failed…) — never the recipient’s address. Its actions:
- Open the PDF (new tab) and Download: the original of the invoice or credit note;
- Send: the shared send dialog;
- Credit note (current invoice of an invoiced work order): the partial credit note dialog.
The PDF is not shown inside the panel: it opens in a new tab.
The action bar, at the top of the page under the header, shows the file’s status and offers the next step as its main button: Turn into a quote, Turn into a repair order (Start the repair without the Repair order feature) or Invoice; the other transformations and Close without work (with confirmation) are under ⋯. It scrolls with the page: it does not stick to the top of the screen and never hides the content. They are shortcuts to the statuses allowed by the garage: a status removed from the transitions does not appear. All possible statuses are in the Status menu (current status checked, reopenings under Reopen); with no change allowed, the bar shows the status alone. Printing, having signed and sending a document are done from its card, in the Documents section. At the reception stage, as long as the vehicle reception form is not signed, the main button is Vehicle reception form (the transformation stays next to it); afterwards, the form opens from ⋯ or its card. A few rules are fixed:
- at the Completed, Invoiced and Cancelled stages, the lines and the mileage are locked;
- a work order only moves to Invoiced once completed, with the number and date of its invoice (see Invoicing); it can no longer be cancelled afterwards and only goes back to Completed through a credit note;
- leaving a completed, invoiced or cancelled stage, except to invoice a completed work order, is a reopening: it requires the permission Reopen a completed, invoiced or cancelled work order. Cancelling a completed work order is one.
A work order cannot be deleted: a refused quote or a mistake is closed with the Cancelled status.
The page in the simple version
Section titled “The page in the simple version”When the Work order details feature is turned off (Settings › Features, see Features), the page is reduced to the everyday path:
- a step strip under the header replaces the timeline: Work order → Quote (optional) → Repair → Invoice. The current step is highlighted; the quote is marked “skipped” when the repair starts without one;
- the action bar shows the next move in plain words: Issue a quote (opens the issue dialog of the Quote section) and Start the repair (move to repair without a quote, on a verbal agreement), then Finish, then Invoice. If the “accepted quote required” setting is on, Start the repair is greyed out at the quote stage until a quote is accepted, with the same explanation as in the full version. Issue a quote also appears at the Scheduled stage as long as no quote is issued (the client asks for a quote after booking the appointment): issuing offers to move the work order to Quote awaiting approval; never in progress or waiting. The supplementary quote is not offered: it stays available in the full version;
- the Documents section is the same as in the full version;
- the Scheduling and time block, collapsed by default (the browser remembers its state), holds scheduling, the time panel and time tracking.
In the full version, the document timeline replaces the step strip and the scheduling and time blocks are expanded.
Scheduling and time
Section titled “Scheduling and time”The work order keeps three main sections: Request and work, Parts and labour and Documents. On a large screen (1,536 pixels wide or more), it reads in two columns: on the left these three sections; on the right the Follow-up, Photos and documents, Payments (if the till is turned on), Notifications, Scheduling and Time, stock movements and the assistant. On a narrower screen, a tablet or a phone, the blocks are stacked: the right-hand ones come after the documents.
The Scheduling block lists the work order’s time slots, in garage time, with the workers and the resource. A click on a slot opens the schedule at that day. It appears for people who can view the schedule.
To add a slot without leaving the work order, tap + Time slot: the day (today, or the next working day once the schedule’s day is over; Sunday is skipped), the start time, the duration (suggested: the remaining planned time, that is the planned time minus the time already scheduled, rounded up to the quarter hour and at least 30 minutes), the worker (by default the person in charge of the file) and, if needed, a resource. Before you add it, the page shows No conflict or the conflict found (worker or resource already booked); a conflict does not prevent adding, as in the schedule. Edit changes a slot’s day, time, duration, worker and resource (a slot with several workers keeps them: change them from the schedule); Delete asks for confirmation. Adding, editing or deleting requires the right to create, move and delete appointments and an open work order; Open in the schedule leads to the full schedule.
The Time block shows:
- Planned: the duration of the fixed-price services (multiplied by their quantity) and the labor hours of the lines;
- Scheduled: the total of the time slots (for people who can view the schedule), with a bar comparing it with the planned time;
- Sold: the same calculation, limited to the lines charged to the client (free labor or a fixed-price service with a 100% discount is planned but not sold);
- Spent: the recorded time (see Time spent), “Spent (you)” if you only see your own time; a running timer is shown separately (“+ 0 h 12 running”) and only counts once stopped.
With the permission to view everyone’s time, the Time tracking card follows the Time block: scheduled, sold and spent time, then for each worker the entered time, the timer time, the total and the running timer; the internal cost only appears with the “Manage everyone’s time” permission. Print the detail downloads the printed time detail.
Time spent on a line
Section titled “Time spent on a line”For a labor line or a fixed-price service, the ⋯ menu also offers, at any stage where time can be recorded (even when the lines are locked at “done”, and without the permission to edit the work order):
- Time spent…: opens a panel (at the bottom of the screen on a phone) with the line’s sold and spent time, the list of time entries (worker, day, origin, note, duration), Edit and Delete for the entries you can correct, and a form to enter time (worker, day, duration, note); Escape or Close closes it and returns focus to the ⋯ button;
- Start timer (or Stop timer if it is running on this line), if your account is linked to a worker.
The Time spent column of the lines table gives the spent time of each labor line and each fixed-price service (“Time spent (you)” if you only see your own time). A part, a text line or an included part has no time.
Electrical qualification
Section titled “Electrical qualification”On an electric or hybrid vehicle (according to the reference model), a worker without an electrical qualification valid today is flagged Not EV qualified: next to the work order’s lead worker, next to the worker of a labor line and in the selection lists. It is only a warning: the assignment is saved. Qualifications are set in Settings › Workers.
Notifications
Section titled “Notifications”The Notifications card, in the right-hand column, lists the emails sent or planned for this work order and its appointments (confirmations, day-before reminders, vehicle ready), with their status, their date and, if applicable, the reason an email was not sent.
When the work order is completed or invoiced, the Notify the client: vehicle ready button immediately sends an email to the client. Under the button, Garage+ shows who will receive it (name and partly masked address) or why the client cannot be notified (no consent, opt-out, no address…): the button is then disabled. A second click within 2 minutes is refused, so as not to send the same email twice.
Send again resends a confirmation or a vehicle ready that was not sent, failed or bounced, once the cause is fixed. A confirmation sent again outside the 9 am to 8 pm window is sent the next day at 9 am: the planned time is shown. See Client notifications.
Follow-up
Section titled “Follow-up”The Follow-up section, at the top of the right-hand column, is the timeline of the file, from oldest to most recent: the operations done in Garage+ (work order created, status changes, vehicle reception and return forms saved, quotes issued, accepted or declined, documents signed, invoices and credit notes issued, invoice recorded) and the workshop’s comments (signed and time-stamped). Add a comment with Comment. Comments cannot be edited or deleted. Like the request fields, they must not contain unnecessary personal data.
Photos and documents
Section titled “Photos and documents”The Photos and documents section of the work order keeps the photos and attachments taken during the work: vehicle condition, worn part, replaced part, technical document. Its title shows how many there are, “Photos and documents (3)”, so you can see at a glance whether anything is attached. The flow documents (quotes, forms, repair order, invoice and their PDFs) are no longer there: they are in the Documents section, their files under Stored copies. See Photos and documents.
The Work orders list
Section titled “The Work orders list”The List / Board toggle, at the top right, shows work in progress in columns by status: see The workshop board.
The Work orders menu lists the files by stage cards (one per document, working like tabs), each with its count:
| Card | Files |
|---|---|
| All | all files |
| Receptions | Reception stage |
| Quotes | Quote stage (provided status Quote awaiting approval) |
| Repair orders | Scheduled, In progress, Waiting for parts stages |
| To invoice | Completed stage |
| Invoices | Invoiced stage |
| Closed without work | Cancelled stage |
Files are grouped by creation day (“Today”, “Yesterday”, then the date), newest first; the list is read in pages of 25 (pagination bar at the bottom); a day cut between two pages repeats its header at the top of the next page. The whole row opens the file. The Linked documents column shows the current invoice and the latest quote version, with its state.
The Status column only shows the statuses created by your garage: the tab is enough to place a file at the provided stages. A file whose vehicle return form is signed also carries the Returned badge there. On the Invoices tab, the Amount due column needs the Payments and cash register feature; without it, an invoice with the Paid box ticked carries the badge of the same name.
Search
Section titled “Search”At the top of the list, search by subject, plate, client name or number (#42, 42, OR-00042 or R-00042), then filter by creation period (From, To, garage days). A number alone also finds the file by the code of its client or vehicle. The search applies to the open tab, and the tab counts follow the search. The plate and the client name are only searched and shown for people who can view vehicles or clients; otherwise, the list shows “restricted”.
The search also finds a work order by the number of its invoice, complete or partial, with or without dashes (F-2026-00042, 202600042), including an old number that was corrected or cancelled by a credit note. The number of the current invoice appears under the status.
It likewise finds a work order by the number of one of its quotes, complete or partial, with or without dashes (D-2026-00001, 202600001), all versions included (D-2026-00001-2). This number can be searched even without access to clients or vehicles. Under the status, the list shows the latest version of the quote and its state, for example “Quote D-2026-00001 · Awaiting response”.
To follow up with your clients, open the Quotes tab and choose Quotes awaiting response: the list only keeps the files of a non-anonymized client whose latest version is still awaiting a response, expired quotes included (to follow up or to issue again). See Follow up pending quotes.
Anonymized client
Section titled “Anonymized client”When a client is anonymized, their work orders remain (without their identity) for the vehicle’s history, but their comments and administrative documents are deleted and they become read-only.
