Workshop assistant
The workshop assistant suggests leads based on the symptoms, the vehicle (make, model, engine, mileage) and your garage history. It suggests, you decide: it changes nothing on its own, sends nothing to the customer and creates no invoice. It never asks anything by itself: nothing is sent without a click from you.
Ask a question
Section titled “Ask a question”On a work order or a vehicle page, in the Workshop assistant section:
- Likely causes?: possible causes, checks to do, parts often involved;
- Seen before at the garage?: past work orders of the garage with similar symptoms (similar cases), each with a link;
- or type your own question (500 characters at most), then click Ask.
Each lead states its source: Garage history (with a link to the work order it cites) or General knowledge. The assistant never gives a critical figure (tightening torque, dimension, pressure, manufacturer interval) without a source: the figure is removed, and the answer asks you to check it in the manufacturer documentation.
The 5 latest questions asked on the page remain available under Previous questions. To prevent abuse, each person can ask 10 questions per 10-minute period; beyond that, wait a few minutes.
Add a suggested line
Section titled “Add a suggested line”On an open work order, the assistant can suggest lines from your catalogue (work type, part, flat rate). Nothing is added without you: click Add on the line you want; it appears among the work order’s lines, at the catalogue price, editable like the others. Dismiss refuses the line. On a vehicle page, no line is suggested.
- If the price or the item has changed in the catalogue since the suggestion, the line shows the new value: check it, then click Confirm.
- A suggestion is valid for 10 minutes. After that (or for a question asked by a colleague), click Ask again: the line is suggested again, without a new question to the assistant, then click Add.
Personal data
Section titled “Personal data”Sent to Mistral AI: your question, the vehicle (make, model, engine, mileage) and the open work order, the vehicle’s history, work orders of other vehicles of the garage with similar symptoms (similar cases) and labels from your catalogue. That this data is not used to train Mistral AI’s models is a contractual commitment of the provider, which Vehitis confirms before opening the assistant. During the test phase, the same data goes through OpenRouter (a US company, processing outside the European Union), a technical intermediary that forwards it to Mistral AI only and does not keep its content (only technical data: token counts, duration). Never a name, phone number, email, address, plate or VIN: if any remain in a text (symptoms, question), they are masked before sending, and the panel tells you so by showing the question as it was sent and the number of items masked. Do not write personal data in the work order fields or in your questions: a name the garage does not know cannot be recognised.
Your questions and the answers are kept for 180 days, then deleted. Those asked about a client’s work orders are included in their export, and are deleted when the client is anonymized.
The quota is shared by the whole garage and renews each month (calendar month, Paris time): 5 questions per month in the free version, 300 with the subscription, unless the Garage+ operator has set a custom quota. A question that fails (no answer possible, assistant unavailable) is not counted. The panel shows the questions left, then says when the month’s quota is reached.
Turning the assistant on
Section titled “Turning the assistant on”The assistant is the AI assistant feature in Settings > Features, off by default for a new garage (garages that already used it keep it on). While it is off, the panel does not appear on the pages and no data is sent to an AI service. Turning it off removes it at once, without deleting the questions already asked.
