Messages and notifications

Every document is sent through the same “Send” dialog: quote, invoice (deposit invoice included), credit note, proforma, payment receipt, account statement, repair order, vehicle reception form, repair estimate and vehicle return form. The PDF is attached to an email, sent from Garage+’s sending address on behalf of your garage.

The Send button sits next to the document: in the Quote and Invoice cards (the current invoice and each of its credit notes) of the work order’s Documents section, and on the other cards of that section (signed documents, unsigned repair order).

From top to bottom, the dialog shows:

Block What it contains
To The contacts of the document’s client (the client of the invoice or quote, even if the work order’s client has changed since). The billing contact comes first for invoices, credit notes, quotes and the proforma; the depositor (who dropped off the vehicle) comes first for the repair order, the vehicle reception form and the vehicle return form. The billing, drop-off and main tags help you choose. Addresses are masked (j***@example.com); a contact without an email address is greyed out.
Copy Up to two other contacts of the same client. Each one receives their own email (with its own tracking), not a visible copy of the others. You cannot send to an address typed by hand: only the client’s contacts are offered.
Email preview The subject (150 characters at most, on one line) and the message (4,000 characters at most), editable. They are prefilled from your template for this kind, otherwise from Garage+’s (in the document’s language, with the signature set in Settings › Garage). This is plain text: no formatting, and Garage+ makes no link clickable. Garage+ always adds your contact details, the reminder unsubscribe link and, when the text comes from your garage, a note telling the client so with the address for reporting abuse. Garage+’s template never mentions an amount.
Attached The name of the attached PDF and, if the document cites them, the terms of sale version attached to the PDF (“Terms of sale v2 attached to the PDF”). Invoices and credit notes are sent with their original if it has never been delivered yet, otherwise with a numbered duplicate (original and duplicates); each send counts as a delivery.

Click Send: a notice appears for each contact (“Sent to …” or “Not sent to …” with the reason, for instance a contact without an address). The client replies directly to the garage’s email address.

Good to know:

  • The subject and message as sent are kept with the send (90 days, like the send itself; erased if the client is anonymised, included in their export). Unchanged Garage+ texts are not kept: they are rebuilt.
  • The same document is not sent again to the same contact within 2 minutes (double click); wait a little before sending it again.
  • To keep a hijacked account from sending mass emails, a member can send 20 documents per 10 minutes, and the garage 200 per hour; a copy counts as one send. Beyond that, the dialog shows “Too many sends in a short time”.
  • Sends count towards the monthly email quota (see Settings › Garage).
  • You need to be able to edit the document (invoices, quotes or work orders depending on its kind), read clients, add documents and send notifications: the Technician does not have the button. During support access, sending is refused.

The billing contact is set on the client page (a contact’s Billing contact box).

The Messages and notifications menu entry (Customers section) opens the log of every email sent by the garage: documents (quotes, invoices, credit notes, proformas, workshop documents), signature links, appointment confirmations and reminders, vehicle ready. The most recent sends come first, in pages of 25 (page bar below the list; applying the filters goes back to the first page).

Filter Effect
From, To The period, in the garage’s time zone: the last 30 days by default, 90 days at most (older sends are deleted).
Kind Quote, invoice, credit note, proforma, payment receipt, account statement, workshop documents, signature link, appointment, vehicle ready.
Status Scheduled, sent, delivered, bounced, failed, not sent… (see Notifications).
Client A client from the directory.
Document number F-2026-00012, A-…, D-…, or R-, OR-, RS- followed by the work order number.

Filters apply with Filter and stay in the page’s address (you can bookmark it). Each send shows its date, the document (a link to the work order if you can view work orders), the client, the recipient with their masked address, the status (and the reason why a send did not go out) and Sent by: the member who sent it, or Automatic for appointment confirmations and reminders. On a phone, each send is a card.

Send again:

  • a document reopens the document’s Send dialog, with the same contact suggested and, if you had edited them, the same subject and message: you can change the recipient, add copies or touch up the text;
  • an appointment confirmation or a vehicle ready email that did not go out is sent again right away, under the usual conditions (latest send of its kind, upcoming appointment, work order completed or invoiced).

The page opens to people who can send notifications and view clients (Reception and Administrator, for example); the Technician does not see it.

A demo garage really sends its emails, so you can test them, but never to the intended customer: each email is redirected to a member of the garage.

Send Received by
Sent by a member (quote, invoice, credit note, proforma, workshop document, signature link, vehicle ready, resend) The member who clicked Send, at their sign-in address.
Automatic (appointment confirmation and reminder), or member removed from the garage or suspended The garage’s owners and administrators: the first one as recipient, the others in copy.

The subject starts with [Demo] and the message opens with the notice “Demonstration send: this email was intended for name masked intended address”. Everything else is identical to a real send (text, attached PDF, calendar invitation), except the customer’s unsubscribe link, which is left out.

Good to know:

  • Only members with a verified address on a real domain receive these emails; with no reachable member, the send stays “not sent”.

  • The customer’s consent and opt-out do not block the send, since the customer receives nothing; a contact without an email address stays “not sent”.

  • Sends count towards the monthly email quota, like real sends.

  • The Messages and notifications page and the Notifications section keep the intended recipient and show Demo send, sent to … under the status (masked address).

  • A suspended garage sends nothing, demo or not.
