Statuses and resources
These screens are reserved for people who have the Manage settings permission. They are in the Settings menu, under Job statuses and Resources.
The eight provided statuses
Section titled “The eight provided statuses”Each garage starts with eight statuses, each attached to a fixed stage:
| Status | Stage |
|---|---|
| Reception | Reception: the vehicle is dropped off, the garage will then decide on the quote or the repair order |
| Quote awaiting approval | Quote: the quote is being prepared or awaits the client’s approval; acceptance moves it to Scheduled |
| Scheduled | Scheduled |
| In progress | In progress |
| Waiting for parts | Waiting for parts |
| Completed | Completed |
| Invoiced | Invoiced |
| Cancelled | Cancelled |
These provided statuses can be neither deleted nor deactivated, and their stage never changes.
Rename, color, order
Section titled “Rename, color, order”- Edit changes the name and the color. For a provided status, leave the name empty to use the default name (translated into the user’s language).
- The Move up and Move down arrows change the display order.
Add a status
Section titled “Add a status”New status creates a status at the stage of your choice. Example: “Parts ordered” at the Waiting for parts stage. It then follows the rules of that stage.
Transitions
Section titled “Transitions”Transitions opens the list of statuses a work order can move to from the chosen status (checkboxes). From Reception, the provided transitions lead to Quote, Scheduled, In progress and Cancelled: a dropped-off vehicle can go straight to a repair order when the client agrees, even if the “accepted quote required” setting is on (that setting only applies when leaving the quote stage). A few rules remain fixed:
- a work order only becomes Invoiced after being Completed;
- from an Invoiced status, only completed or invoiced statuses can be chosen (the other boxes are greyed out): an invoiced work order is not cancelled;
- leaving a completed, invoiced or cancelled stage (except completed to invoiced) requires the permission to reopen a work order;
- the lines of a work order are locked at the completed, invoiced and cancelled stages.
Delete or deactivate
Section titled “Delete or deactivate”A status you created that has never been used can be deleted, after confirmation. A status that is already in use is deactivated instead: it disappears from the choices but remains visible in the history. You can reactivate it at any time.
Resources
Section titled “Resources”Resources (lifts, bays, benches) are optional: without them, scheduling is done per worker. With them, an appointment can book a piece of equipment.
- New resource and Rename work as they do for statuses;
- a resource that is already booked is deactivated instead of deleted; a resource that has never been booked can be deleted, after confirmation.
