Initial stock and export
The Stock tab of the Catalog lets you load the starting stock in one go from a CSV file, and export stock levels or the movement log to open them in a spreadsheet.
Prepare the file
Section titled “Prepare the file”In your spreadsheet, one row per part, with a header row:
| Column | Required | Content |
|---|---|---|
reference |
yes | The part’s reference, as in the catalog |
quantity |
yes | Quantity in stock (three decimals at most) |
purchase_price |
no | Unit purchase price excl. VAT |
location |
no | Storage location (40 characters at most) |
threshold |
no | Alert threshold |
- Column names can be in French or English (
quantite,prix_achat,emplacement,seuil). - The separator is
;or,. Decimals are written with a comma (3,20). - Save the file as CSV UTF-8. The file is 200 KiB and 2,000 rows at most.
Example:
reference;quantity;purchase_price;location;thresholdFILT-HUILE-01;12;4,80;A1;4PLAQ-AV-208;6;18,50;B2;2LIQ-FREIN-1L;0;;C3;3The rules
Section titled “The rules”- Parts must already be in the catalog and tracked in stock.
- Initial stock is loaded only once per part: a part that already has movements is corrected with an adjustment.
- A quantity of 0 creates no movement: only the location and threshold are saved.
- Without
purchase_price, the catalog purchase price is used (€0 if there is none).
Preview then import
Section titled “Preview then import”- In the Stock tab, choose Import opening stock (Adjust stock right), then your file.
- The preview lists the parts that will be imported and the stock value, or the errors line by line. Beyond 100 errors, the list is truncated and a message says so. Fix the file and choose it again.
- As long as an error remains, the Import button stays greyed out. Otherwise, confirm: the import is all or nothing (a single error, and nothing is written). It cannot be undone: correct it afterwards with adjustments.
A file with a great many quotation marks may, once sent, exceed the allowed size (“Upload too large”): lighten it or split it into two files.
Export
Section titled “Export”In the Stock tab:
- Export stock levels (CSV): one row per tracked part, with its quantity, location and threshold.
- Export the movement log (CSV): the movements of a period. Days are those of the garage’s time zone, 366 days at most; by default, the current month.
Price columns only appear if your rights allow you to see purchase prices. An exported file can serve as an import template.
Open the file in a spreadsheet
Section titled “Open the file in a spreadsheet”Files use the ; separator and UTF-8 encoding. If accents display badly, import the file choosing the UTF-8 encoding (Excel: Data, From Text/CSV).
