Cash book
This page assumes the Payments and cash register feature is turned on (Settings › Features, see Features).
The cash book tracks the cash in the garage’s drawer. Open it from Cash in the menu, Cash book tab. It is computed from what has been recorded, never from a typed balance:
- cash payments (in) and cash refunds (out), coming from taking payments;
- cancellations of a cash payment, counted as out on the day of the cancellation;
- the movements you record (opening float, cash in, cash out, bank deposits);
- counts (information line: the discrepancy goes through its adjustment line).
The cash book requires built-in invoicing. Reading it takes the View the cash book permission, and recording a movement or a count takes Run the cash register (movements, bank deposits, counts) (Administrator and Reception roles). A support session can read it, never write to it.
At the top: the theoretical balance (what the drawer should hold) and the last count. Choose a period (from … to …, one year at most; Today by default): the book shows the opening balance, each line with its running balance, then the in and out totals. If you can also read compliance, the signed daily closure appears in it.
Every movement and every count is sealed in the fiscal journal in the same operation and is never changed: a mistake is corrected by an opposite movement. The day’s movements, counts and cash payments go into the day’s closure and into the fiscal archives.
Movements
Section titled “Movements”+ Movement opens the dialog:
- Choose the nature: Opening float (the very first movement only), Cash in (cash brought in), Cash out (purchase paid in cash: “Stamps”).
- Enter the amount (the number pad opens on a phone or tablet).
- Enter a label (200 characters at most). It is kept in the fiscal journal: put no customer name or data in it.
- Save.
A cash-out cannot exceed the drawer’s theoretical balance.
Bank deposit
Section titled “Bank deposit”Bank deposit takes cash out of the drawer to pay it into one of the garage’s bank accounts (entered in Settings › Garage). Choose the account, the amount (at most the theoretical balance) and the label, then Save.
Counting the cash
Section titled “Counting the cash”- Count the cash shows the theoretical balance when the dialog opens.
- Enter the counted amount, or tick Count by denomination and enter the number of notes and coins of each value: Garage+ adds them up.
- The discrepancy is shown live. If it is not zero, a reason is required (“change given”), kept in the fiscal journal.
- Save the count.
Garage+ recomputes the expected amount at the exact moment it is saved (a cash payment taken just before is counted). A discrepancy creates a Count discrepancy line of the same amount: after the count, the theoretical balance equals the counted amount.
Print and export
Section titled “Print and export”Print opens the period’s book as a PDF (A4); CSV downloads it for a spreadsheet (amounts in euros and in cents). These are internal documents: the lines sealed in the fiscal journal prevail.
