Deposits

This page assumes the Payments and cash register feature is turned on (Settings › Features, see Features).

A deposit is an amount the customer pays before the work is finished (ordering a part, a large job). With built-in invoicing, Garage+ does both steps at once: it issues the deposit invoice and records the payment. The deposit invoice is a real invoice: it takes the next number of the invoice series (F-YYYY-NNNNN), it is recorded in the fiscal journal, and its original PDF is stored in Photos and documents.

You need to be allowed to issue an invoice and take payments (Administrator and Reception roles). An invoiced or cancelled work order no longer accepts a deposit.

  1. In the Payments section of the work order, click Take a deposit.
  2. Enter the deposit amount incl. VAT, or choose a shortcut: 30%, 50% or Balance (what remains of the total, deposits already invoiced deducted).
  3. Choose the method (payment with several methods is possible, as when taking a payment).
  4. Click Take and issue €X.

VAT of the deposit: Garage+ splits the amount between VAT rates in proportion to the work order’s last accepted quote, otherwise its lines; the dialog shows the split (excl. VAT, VAT, incl. VAT per rate). A work order with neither an accepted quote nor a line asks you to choose the rate. A work order’s deposits never exceed the total of the quote (or of the lines).

The legal cash ceiling applies to the whole job: a cash deposit is added to the balance paid later in cash.

The deposit invoice shows in the Payments section (Deposit F-… pill), with its PDF and Send: it is emailed like an invoice (its original, delivery counted), from the pill or from the deposit’s confirmation screen, which also gives the payment receipt.

When you issue the work order’s invoice, Garage+ deducts all deposits still available: the invoice shows the full total of the work, then Deposits already invoiced (number, date, excl. VAT, VAT and incl. VAT of each) and Amount due. The invoice’s amount due is that net payable. A deposit is never counted twice, neither in the amount due nor in the closures.

To cancel a deposit (work abandoned), click Deposit credit note in its pill: Garage+ issues a credit note for the whole deposit (A-YYYY-NNNNN). The payment received stays recorded: the deposit invoice becomes overpaid, which you refund or move to another invoice. A deposit already deducted from a final invoice cannot be cancelled this way: first issue the credit note of the final invoice, which releases its deposits.
